Your Privacy is Important to Us

A remote ergonomic assessment/evaluation will be completed using distance technology, typically computers, when the consultant and client are not in the same physical location. In-person assessments will NOT involve using internet-based programs, such as Zoom, for recordings, but our privacy and security efforts as stated below will also be applicable.

Potential Benefits:

  1. Improve posture, habits, and productivity to prevent injury by adjusting your workstation setup.

  2. Reduce cancellations due to a minor illness, or provider minor illness. (remote only)

  3. Reduce cancellations due to weather. (remote only)

  4. Provide an opportunity for business owners and employees to learn from recordings of sessions.

  5. Save program costs associated with travel to your place of business. (remote only)

Potential Risks:

We want to make sure you understand that your privacy is important to us and that your information will be secure. As with any service, there may be potential risks associated with the use of remote assessments. These risks include, but may not be limited to:

  1. The internet connection used may not be sufficient (e.g., poor picture or sound quality, dropped connections, or audio interference) to allow for effective interaction.

  2. The computer must be stored in a safe place to prevent damage.

  3. Security protocols of the internet-based programs could fail, causing a breach of privacy of confidential information.

Privacy and Security efforts

Electronically transmitted information may include:

  • Evaluations, assessments, photos, or other ergonomic-related documents

  • Audio or video files from recorded sessions.

Security procedures will be followed to protect the confidentiality of client information and to safeguard information against intentional and unintentional corruption:

a)    Only encrypted software programs will be used to conduct the sessions and to receive your information.

b)    With your permission, the session will be recorded via Zoom. These recordings will be encrypted and transferred to our secure private password-protected server on WeTransfer that can only be accessed by authorized persons, i.e., the business owner and consultant.  Each consultant will only have access to their own client’s data/video recordings and each client will only have access to their own files.

c)    If you do not wish to be recorded during our session, you have the right to refuse.  Please be aware that if you choose this, you will not be able to obtain a recorded copy of the session in the future.

d)    Evaluation results, photos, assessments, or any other documents containing personal information (names, addresses, birthdates, etc.) will be made available through the intakeQ and WeTransfer secure web-portal system. This password-protected system is HIPAA compliant and only allows clients and their assigned consultant to access their own information.

e)    We use the following programs to ensure your personal information is protected and encrypted (their privacy policies are hyperlinked):
